Preparing the Property

We have found that a good relationship with Tenants is the key to a smooth-running tenancy. As Property Managers, this relationship is our job, but it is important that the Tenants should feel comfortable in their temporary home.

General Condition

Electrical, gas plumbing, waste, central heating and hot water systems must be safe, sound and in good working order. Interior decorations should be in good condition and preferably plain, light and neutral.

Furnishings

Your property can be let fully furnished, part furnished or unfurnished. Which is appropriate will depend on the type of property and local market conditions.

Personal items

Personal possessions, ornaments, pictures, books etc. should be removed from the premises, especially those of practical or sentimental value.

Gardens

Gardens should be left neat, tidy and rubbish free. Tenants are required to maintain them to a reasonable standard, provided they have the necessary tools.

Cleaning

At the commencement of the tenancy the property must be thoroughly clean. At the end of each tenancy it is the Tenants' responsibility to leave it in a similar condition.

Information for the Tenant

Leave information for the Tenant on operating the central heating, washing machine, alarm system, and refuse collection day etc.

Keys

You should provide one set of keys for each Tenant. Where we manage we will arrange duplicates as required.

Other Considerations

Before a property can be let, there are several matters which the owner will need to deal with to ensure the tenancy runs smoothly and complies with the law.

Mortgage
Consent to let requirements.

If your property is mortgaged, obtain your mortgagee's written consent to the letting. They may require additional clauses in the tenancy agreement.

Leaseholds
Check lease terms and permissions.

If you are a leaseholder, check the terms of your lease and obtain any necessary written consent before letting.

Insurance
Buildings and contents cover.

Ensure you are suitably covered for letting under both buildings and contents insurance. Failure to inform insurers may invalidate policies.

Bills and Outgoings
Standing orders and management.

We recommend arranging for regular outgoings (service charges, maintenance contracts) to be paid by standing order or direct debit.

Council Tax & Utilities
Transfers and meter readings.

We arrange transfer of Council Tax and utilities to the Tenant, with meter readings for closing accounts.

The Inventory
Schedule of condition.

An inventory of contents and schedule of condition is important to avoid misunderstanding or dispute at the end of a tenancy.

Assured Shorthold Tenancy
Definition and typical terms.

Most tenancies will automatically be ASTs, provided the rent is under £100,000 a year and the property is let to private individuals.

Overseas Landlords & Income Tax

When resident in the UK, it is the Landlord's responsibility to inform Revenue & Customs of rental income and pay any tax due. Where the Landlord is resident outside the UK, an exemption certificate from Revenue & Customs is required to receive rental balances without deduction. Where we manage the property we provide advice and assistance on applying for such exemption.

Tenancy Deposit Protection

All deposits taken under Assured Shorthold Tenancies in England, Wales, Scotland and Northern Ireland must be protected by a tenancy deposit protection scheme. Each scheme is supported by an alternative dispute resolution service (ADR). Landlords and agents can choose between custodial and insurance-based schemes. More information on request.
